Real Estate Project and MLS Assistant 10.20.25

This position is designed to assist the broker / project manager with execution of company projects and brokerage of real estate. Experience in administrative tasks with regard to project management and real estate sales is required. A real estate license is desirable but experience in a real estate office is valuable. Confidence to take control of tasks to accomplish the objectives of the broker/project manager is required. The right candidate can expect to become project manager after demonstrating their abilities to take control and meet the expectations for the work load.

MLS Management

Assist Broker with drafting documents,
Setting up and completing listing documents
Assist wth pictures for listings
Update listings as needed
Maintain records during and after listing and sales

Project Management

Assists with budgets, project specifications, planning and control mechanisms
Monitor project execution including
Subcontract management including bids, contracts, insurance and wavers
Material acquisition, application and returns
Assist with unit/facility design
Communications for tenant notice before, during and after ensuing projects
Assist with budget development for labor and materials and meeting with generalanager and client for approval and financing
Posting, notices and calender management as required of contractors throughout execution
Learn and use work order system in all affairs

Work closely with accounting. The manager works closely with the accounting department to understand the accounts and property performance.

Communication with clients on a regular basis. The manager communicates with the clients as necessary to assure client understanding of all operations. Included are:
Preparation of written reports as needed with Yardi financial statements prior to mailing
Prepare interim communications as needed to assure client understanding
Request for funds for projects and tasks exceeding contractual limits
Effectively utilize and maintain communications to secure a record
Organization and storage of communications records in hard copy and server within the existing structure
Assist seeking out new clients.

Develop marketing strategy to:
seek out and develop new long and short term clients and projects,
prepare and disseminate marketing material,
work with marketing department to accomplish the goals set.
Work with GM and President to develop goals and objectives for each year.

Education: The property manager is encouraged to obtain a real estate or other license. Licensing is financially supported by the company. In addition, you are expected to continue with other educational opportunities to further their understanding of this branch of real estate.

Wage: Wage is commensurate with starting position with escalation as earned. Submit resume with letter of interest, after which, wages are discussed.

Common area dusting, vacuuming, window washing
Turning short and long term rentals restoring for new occupancy
Short term unit staging following occasional cleaning contractor assistance
Oversight of Cleaning contractor, improvement of complex hallways, entrances and laundry
Inventory control, ordering supplies and equipment
Seasonal work
Porch steps and deck/rail painting/staining
Yard raking, edging, and cleanup, applying seed and fertilizer
Flower bed design, tilling and planting
Plant and flower acquisition and distribution
Irrigation management
              Trimming of all bushes and shrubs, turning base soils, weeding,
              Cleaning/raking of grounds, from curb gutters to rear fence
              Orchestrate and oversee leaf clean up in the fall, clean or oversee gutter cleaning

Orchestrate and monitor lawn care and snow removal providers; establish terms and schedule
Utilize, manage and maintain snow blowers, small plow sidewalk snow removal and salt distribution
Order winter and summer supplies, including softener salt
Manage field assistant

Store Position (might be a winter filler position)

Handle retail
Manage retail inventory, stock for maintenance and customer sales
Manage tools
Develop on-line order system to include drop shipping
Maintain shop, keep clean, shop tool repair and maintenance
Make/repair screens and window repair
Sell mixed paints
Market daily on facebook and other market places
Sell regular goods
Test value of things we have but may not sell, dispose of accordingly

Delinquent and Unpaid Account Administrative Assistant
Account management

Conduct administration activity on behalf of the company and clients. Activities consists of the contacting late tenants including phone contact and pursuing closed out tenant files on behalf of company, soliciting non-owned files for attorney engagement, assisting with marketing tasks and back-up showings. Tasks include:

    Conducting research and discovery of debt-owning tenants
    Expeditiously Preparing and executing court filings
    Proactively managing court processes and related services
    Engaging attorney services and attending court proceedings.
    Manage shared files with attorney
    Communicating with all parties involved
    Initiating, managing and pursuing all unpaid rent and utility billings
    Managing Accounts Receivables w/engagement of Property Manager
    Produce and Manage monthly Notices to Quit
    Prepare owner billings for filing services
    Manage case status and writ of eviction process.
    Helping staff with phone and showings of managed property

Operate in conjunction with company attorney, conduct weekly meetings to insure proper direction, pursue preparation of acquired files for legal action, assessing file quality, executing action by either phone negotiating or legal action, completing and filing all court paperwork and pursuing means of payment through discussion with company attorney, garnishment, etc. Solicit work from other non-managed landlords, establishing commissions based on file quality,

Generally, develop and maintain all files in a secure, organized and documented condition so as to allow anyone with authority to review and act on behalf of the company, maintain security of sensitive data, and

Administrative assistance:

Help with leasing and showing by managing phone calls in Showing Agent’s absence, showing of units as needed, and assist with applicant data gathering.

Relative commitment consists of

    Unpaid Delinquency Management 60%
    Front end backup 30%
    Information Security 10%

Pursuit of unpaid account experience is desirable but not required. Wage commensurate with experience. Commission for certain achievements in addition to wage.
